Guidelines for Paper Presentation
It is not our intent to force every speaker into a mold,
but we hope that the following guidelines will help you to maximize the impact
of your presentation.
All of the attendees have an interest in aviation (airfield) lighting, but they
come at it from many points-of-view. They may be designer/specifiers,
installers, users, manufacturers, researchers, government regulators, etc.
In general any topic will probably be most interesting to a subset of the total
group, but wherever possible material should be presented to appeal to varying
viewpoints.
It is preferable for a written copy of the paper to be available in advance.
This will allow copies to be distributed before your presentation, so that
attendees can use it to follow along with you. This has never been a
requirement at past conferences, and it is not our intention to make it
mandatory for this one. However, at past conferences individual
presenters have sometimes chosen to do so, to the benefit of all.
We strongly encourage the use of visual aids, but in
most cases these should not be copies of your paper. Rather they should be
visuals (pictures, simple diagrams, charts, etc., preferably in color) with
minimal written words (in large print) that you can ‘talk to’ as you
explain your points. This year in an effort to preserve uniformity and
non-commercialism a standard MS Power Point template will be furnished to all
presenters. Leave the fine details for you’re written paper.ZZ
The following audio visual aids will be available:
· The projector will be the video/data type, which can project on the screen from several different inputs as follows:
· Computer input from your laptop (compatible with PCs only) for use with computer generated slides, e.g. PowerPoint. In deference to Murphy’s Law, we suggest you bring hard copy as backup ‘just in case’.
Each presenter will have a wireless Microphone so voice projection is assured.
Questions or comments from the audience will be by wireless microphone, allowing the presenter to concentrate on his or her reply, without worrying about repeating questions, etc.
This is a technical meeting, not a trade show. Thus:
· Your company name will appear only on the opening page of your presentation using the provided Power Point template. No company logos are allowed.
· Although in some cases it may be inevitable that particular manufacturers or their products be mentioned, this should be avoided wherever possible.
· Product samples and demonstrations are not acceptable, either at the presentation, or at the conference. The day show is provided for this purpose. If you wish to promote a product or service it must be done by registering for a booth for the show.
· Similarly, the distribution of sales literature at the presentation or the conference is not acceptable.
· If you have any doubts about what you plan, please discuss them with either of the chairpersons, David or Dedra Rainey (662-869-8655) well in advance of the conference. Violations of these guidelines could bar you and/or your organization from presenting at future conferences.
The following feedback from previous attendees relate to this point:
"Let presenters know that the distribution of sales
literature is not acceptable"
"Some papers seem too commercial"
"Urge speakers to do more teaching, less promoting"
In general each presenter will be allotted about 45 minutes, 25 to 35 minutes for their presentation, and a further 10 to 15 minutes for questions and answers. Please note:
· If additional time is required it may be possible to provide this as long as a request is made in advance.
· Please review your presentation in advance so that you can keep approximately to the time allotted. It is not fair to the following presenters to eat into their time, and significant violations may require your presentation to be truncated.
It is the Aviation Committee practice to produce the Proceedings of the Conference, for later distribution to all attendees. Speakers are asked to provide a copy of the Paper as a .PDF document to the chairman no later than November 1, 2008. Failure to do so may mean that your Paper will not be published in the Proceedings.
